Administrative Assistant - Department of History & Political Science (S329)

Provides administrative, clerical and technical support to the full time faculty and adjunct faculty of the Department of History & Political Science.


Required Education



  • B.A. degree or equivalent experience.


Required Experience



  • Three to five years’ experience in a service-oriented environment, preferably in higher education.


Primary Duties/Essential Functions



  • Serves as confidential secretary to the department chair, preparing all paperwork and forms. Serves as recording secretary at department meetings.

  • Coordinates, maintains and implements Department calendar, including: meetings and appointments, class schedules, receptions and events, and travel plans.

  • Accurately prepares all paperwork and forms including letters, memos, proposals, adjunct contracts, faculty loads and overloads, semester schedules, subsequent schedule changes, and other documents as assigned.

  • Provides clerical support for full time and adjunct faculty including assistance in preparation of syllabi, exams, and correspondence.

  • Provides technical support for the department.

  • Serves as receptionist and liaison with department students and with other departments on-campus.

  • Answers, screens, and directs incoming phone calls, and takes student and visitor inquiries.

  • Maintains general office files, including: up to date student files for all department majors, department syllabi, adjunct gradebooks, and more.

  • Supports chair in monitoring monthly budget transactions; facilitates financial transactions using appropriate forms and the electronic purchasing system.

  • Orders desk/examination copies of textbooks and other publications requested by faculty.

  • Tracks faculty responses to departmental and university requests to ensure the department is on task (i.e. Respect and Esteem training, textbook requisitions, syllabi, IDEAs, contracts, grades, etc.).

  • Processes all department printing orders.

  • Coordinates and assists in facilitating department events.

  • Responsible for ordering/purchasing office supplies, photocopying machine supplies, coffee supplies, and current forms and materials for department use.

  • Hires, trains, and supervises student workers.

  • Maintains the appearance of the office in a professional manner.

  • Regular, punctual attendance as required by the supervisor based on department needs.

  • Performs other duties as assigned by supervisor.


Skills



  • Demonstrated proficiency in Microsoft Office, Outlook, Word, Excel and PowerPoint, type 55 wpm.

  • Self-starter with strong management/organizational skills.

  • Excellent command of the English language and ability to communicate effectively with students, staff and faculty.

  • Ability to proofread and meet deadlines.

  • Written and oral communication skills to prepare clear, accurate correspondence and reports and to communicate clearly, effectively, and professionally in person, by phone, or by email.

  • Ability to collaborate and a commitment to a team-based approach.

  • Ability to maintain confidentiality of records and information.

  • Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult management prior to taking action.

Physical Demands



  • Requires repetitive motions and sitting at computer keyboard.

  • Hearing and speaking on the telephone.

  • Ability to conduct business at other offices on campus.

  • Ability to lift, bend, grasp, reach, lift up to 20 lbs. occasionally.


Visual Demands



  • Reading, writing notes, and computer monitor.


Environment



  • Pleasant office, comfortable temperature.



Technologies



  • Proficient in Google Apps., Microsoft Office, Word, and Excel.
